Pick a period and week, then import each store's planner — or all of them at once. Re-importing replaces just that store's data for that week (its published status is kept).
Everything currently visible to staff, newest first. Unpublish to hide a week again — it then drops off this list.
Where the app reads from. Paste the Google Sheet links here so nothing is hardcoded. Each sheet must also be shared with the service account (Viewer) for the live reads to work.
These sheets refresh automatically every few hours. A bad or empty sheet is skipped (never wiped). Last result:
The per-period Labor File sheet (employees, eligibility, pay). Pick a period and paste its link. Must be shared with the service account (Viewer).
Saving stores the link; Import this period opens Planner → People and loads the preview so you can review and import the roster.
The Vacation Tracker sheet (approved future vacations). One sheet, not per-period. Must be shared with the service account (Viewer).
Users are managed centrally in the Store Dashboard (Admin → Users → "Schedule App" column). This list is a read-only mirror — use the button to pull the latest. New users are also picked up automatically the first time they sign in, so syncing by hand is rarely needed.
Import the period's Labor File — employees, titles, eligible stores, and pay rates. Set the file link first in Admin → Sheet links. Preview shows what will import and flags anything that can't be matched (by employee ID); Import replaces this period's data.
Paint the ½-hour times this person can't work — drag to paint or erase, or click a day header to toggle the whole day. Applies indefinitely until changed.
Pick a store to see who can work there. Click a person to view/edit their restrictions, preferences, and vacations.
Approved future vacations from the Vacation Tracker (set its link in Admin → Sheet links). A range counts as unavailable; for a multi-day vacation whose note says the person can work a day, use + day to mark that day available.
The planning rules behind the Labor Planner. These are seeded from the design and are meant to be reviewed against reality — the store settings below are editable now; the rest is shown for review.
Each store's type (which staffing matrix applies) and operating hours. Store type is blank until you assign it. Openers (including the delivery opener) are set in Open/close crews below; the closing inventory count is required at every store. Open-slot staff arrive early by the global early-arrival rule (see Labor rules). For days a store's hours differ, use the exceptions card below.
For a day when a store's hours differ from its defaults above (e.g. a weekly breakfast). Leave a field blank to use the store's default for that time. Regionals then staff those hours manually — there's no automatic breakfast staffing.
Grid = how the role shows in the plan (F front, K kitchen, AM Store Lead). A role can't be deleted while it's used elsewhere.
Which roles each title is qualified for. ✓ = qualified; ✓* = break-cover only (Lead A may cover a manager's break as Store Lead, not full Store-Lead shifts).
Per store type: how many of each role are needed at each half-hour guest-count band. Leave a count blank (or 0) for "not needed"; leave Max blank for "no upper limit".
How two of these apply: Target hours (min) only applies when the employee works the full target days/week — fewer days, no minimum. Early arrival applies only to the shift that starts at the store's opening time (e.g. 11:30 open → arrive 11:20), not to every shift.
Per store, per weekday. Openers — one arrival time per person; the earliest is the delivery opener (must be food-delivery-qualified). Closers — one entry per person: how many minutes they stay past close (e.g. kitchen ~90, FOH ~60).
